Thesis Deadlines

The quarterly deadlines for thesis format review are set by Office of Graduate Studies. Discuss these deadlines with your thesis committee chair (primary reader). In order to meet the first format review deadline, you need to submit a final draft of your thesis to your thesis committee by the following deadlines, established by the English Department, which should also be discussed with your primary reader:

  • For Fall Graduation: the first week of Fall Quarter
  • For Winter Graduation: the first week of Winter Quarter
  • For Spring Graduation: the first week of Spring Quarter
  • For Summer Graduation: the fifth week of Spring Quarter

Please note: you must be enrolled during the quarter in which you submit your thesis manuscript for format review to the Graduate Studies office. Discuss this requirement with the coordinator of your concentration.

Consider attending a workshop on thesis formatting. Workshops will typically be held twice a quarter prior to the first reveiw deadline date of that quarter, and dates are listed on this website and on the Graduate Studies website. Your coordinator can also recommend thesis formatters available for hire.

First Format Review Deadline
Students may submit their thesis/project for a first review after their committee has approved the completed text. Committee approval is verified by the signing of the form entitled “Thesis/Project Committee Certification”, which is available in the Office of Graduate Studies. Theses/Projects with half-finished chapters, incomplete or missing sections (such as table of contents, abstract, references, tables, graphs, etc.), blank pages, gross spelling and grammar errors or that show little evidence of following the thesis formatting instructions detailed in A Guide to Graduate Studies: Policies, Procedures, & Thesis/Project Format will be returned unreviewed to the student. If the thesis/project is submitted incomplete and is returned unreviewed at the time of the First Format Review Deadline then the student must change their graduation date to the following quarter. PLEASE BE AWARE : changing printers will affect the formatting of your thesis/project. If possible, use a computer that you can use from beginning (First Format Review) to end (Final Format Review).

Thesis Defense Format Deadline
(This deadline ONLY pertains to students in the following programs: Psychology (all concentrations), Biology, Communication Studies, Nursing, and Computer Science.)

The Thesis Defense Format Deadline allows students who have defended their thesis to make the changes (if any) required by the defense committee. NOTE: In addition to the Thesis Defense Format deadline, students must meet the First Format Review deadline, Final Format Review Deadline and Binding Payment Deadline.

Final Format Review Deadline
Students may submit the thesis/project for Final Format Review when they have (1) fulfilled all formatting requirements and been approved for final review, (2) obtained the signatures of all committee members on the signature page, and (3) turned in every copy of the thesis/project that is to be bound (this includes the one original printed from a laser printer and two copies all on 100% cotton paper that will be kept by the university, as well as any additional personal copies for binding--which can be on any paper). If these criteria are not met by the final review deadline, then the student must change their graduation date to the following quarter. The final review may take 3-5 days for completion, so students should make sure they submit the thesis/project early enough to meet the Binding Payment Deadline.

Binding Payment Deadline
If the above three (3) criteria for the final format review are met, and all copies to be bound are complete and accurate, then the Dean will grant final approval and sign the "Summary of Charges for Binding of Thesis/Project" form, allowing the student to pay the binding fee. The binding payment receipt must be dated by the binding payment deadline or else the graduation date will have to be changed to the following quarter. This means the thesis/project title page and signature page will need to be changed to reflect the new graduation date.

Appointments
The thesis reviewers are available for individual appointments during designated hours and days of the week. The purpose of these appointments is to allow students to discuss the reviewer’s comments and seek guidance in the formatting process.
